Work Permits

The Work Permit Module allows Work Permits to be created and monitored within MRI Evolution. These can be attached directly to a Task or can be stand alone generated.

Task Management > Work Permits

The link will open the Work Permit grid. It is a grid view which can be searched, sorted and customised as normal.

To add a new Work Permit click New , to edit an existing Work Permit click Edit . A pop up window will appear which will allow the creation or amendment of a Work Permit.

Note: A Work Permit can be generated directly from a Task by clicking Work Permit or Available from 5.3.0.0 by using the Work Permit sun navigation.

Field Name	Description
Title	The Title of the required Permit.
Permit Class	From the drop down select the Permit Class - for more information see Permit Classes.
Task ID	From the drop down select the Task ID - if the Permit is created directly from the Task this field will be auto-populated.
Contract	From the drop down select the Contract - if the permit is created directly from the Task this field will be auto-populated.
Applicant	From the drop down select the applicant for the permit - drop down is connected to Contacts this can be manually entered if required.
Telephone	Enter the telephone number for the applicant -this will auto-populate if a contact has been selected with a telephone number.
Company	From the drop down select the company the applicant works for - drop down is connected to Suppliers.
Resource	From the drop down select the Resource the permit is associated with. Available from 4.4.7
Permit Details	Enter the permit details.
Tools and Equipment to be used	Enter the details of any tools and equipment to be used.
Access Reason	Enter the access reason.
Job Location - Building	From the drop down select the Building where access is required.
Date Issued	Enter the date the permit was issued - auto-populated with the date / time the permit was raised.
Location	From the drop down select the Location where access is required - drop down is filtered by Building selected.
Date Valid From	Enter the date the permit is valid from - auto-populated with the date / time the permit was raised.
Specific Location	Free type any Location specific details.
Date Valid To	Enter the date the permit is valid to - auto-populated with the date / time the permit was raised.

Field Name	Description
Responsible Person	From the drop down select the responsible person for the permit - drop down is connected to Contacts this can be manually entered if required.
Company	From the drop down select the company the responsible person works for - drop down is connected to Suppliers.
Date Accepted	Enter the date the responsible person accepted the Work Permit.
Validity Period	Available from 5.3.0.0 From the drop down select the validity period for an issued permit. Validity Periods: Whole Period: Authorisation for the permit applies for the entire period between the Access Valid form and to dates Daily: Authorisation for the permit must be granted each day for the period between the Access Valid from and to dates Per Visit: Authorisation for the permit must be granted for every new Time Record between the Access Valid from and to dates
Authorise 1	From the drop down select the first authorised person issuing the permit - drop down is connected to Contacts this can be manually entered if required.
Authorise 2	From the drop down select the second authorised person issuing the permit - drop down is connected to Contacts this can be manually entered if required.
Additional	From the drop down select the third authorised person issuing the permit - drop down is connected to Contacts this can be manually entered if required. Note: From 5.3.0.0 Authorise 3 was changed to Additional
Contact Class	Available from 5.3.0.0 From the drop down select the Contact Class required for the Permit Authoriser. Note: Authorisers for the Permit can be any Contact with the required Contact Class that are linked to the Permits Building
Responsible Person	From the drop down select the responsible person excepting the Hand-back or cancellation of the permit - drop down is connected to Contacts this can be manually entered if required.
Contact Class	Available from 5.3.0.0 From the drop down select the Contact Class required for the Responsible Person. Note: Responsible Person for the Permit can be any Contact with the required Contact Class that are linked to the Permits Building
Completion / Termination of work	Enter the date the works were completed / terminated.

Field Name	Description
Method Statement Submitted?	Check the box if a method statement has been submitted.
Risk Assessment Undertaken and Submitted?	Check the box if a risk assessment has been undertaken and submitted.
Details	Enter details related to Work Permit precautions.

Field Name	Description
Other Safety Equipment	Enter details of any other safety equipment required.

The JC-003 Work Permit report can be printed by clicking Works Permit Report.

Available from 5.2.0.0 The Work Permit Status can be amended to reflect the state of the permit

Complete the fields and click Save and Close .

Work Permits can be assigned a Status, if Contractor Gateway is in use, Permit statuses will update in the Gateway for the Supplier.

	Unassign from Supplier	Available from 5.3.0.0 Click to unassign a Work Permit from a Supplier - Available for use with Contractor Gateway.
	Send to Supplier	Available from 5.3.0.0 Click to send a Work Permit to a Supplier - Available for use with Contractor Gateway.
	Approve	Click to approve a Work Permit.
	Reject	Click to reject a Work Permit.
	Issue	Click to show a Work Permit has been Issued.
	Complete	Click to show a Work Permit is now Complete.
	Cancel	Click to Cancel a Work Permit.
	Send to History	Click to send a Work Permit to History.
	Work Permit Report	Click to run the JC-003 Permit to Work report.
	Copy Work Permit	Click to create a copy of this Work Permit.
