Contracts - Schedule Of Rates

If a Schedule Of Rates is being used to calculate Costs in MRI Evolution it must be attached to the Contract. Individual items can be created against the Contract or a Master Schedule Of Rates can be imported.

Facilities > Contracts - Schedule Of Rates

The link will open the Contract / Schedule Of Rates grid. It is a grid view that can be customised and sorted as normal.

To add a new Schedule Of Rates click New , to edit an existing Schedule Of Rates click Edit . A pop up window will appear which will allow the creation or amendment of a Schedule Of Rate.

To import a Master Schedule Of Rates click Import Master Schedule Of Rates .

Since the addition of States to Master Schedule Of Rates, the import function has been updated as follows:

Suspended Master Schedule Of Rates should be imported and values refreshed
- The state of the Schedule Of Rates linked to the suspended Master Schedule Of Rate will be updated to suspended
Historic Master Schedule Of Rates should NOT be imported
If any existing Schedule Of Rates are linked to the Historic Master Schedule Of Rates these will be updated to History
If any existing Schedule Of Rates are Suspended and linked to a Master Schedule Of Rates that is Active, these will be updated to Active

Master SOR Item	Available from 5.8.1.0 An optional field to select the relevant Master Rate Item. All field values from the Master Rate Item will be copied to the current Schedule of Rate Item.
Code	The code used to identify the Schedule of Rate Item.
Master SOR Group	Available from 4.4.8 Read-only field that is auto-populated with the Master SOR Group value once the Master SOR Item is selected. Available from 5.8.1.0 The field label is now a hyperlink to open the populated record.
Short Description	The short description of the Schedule of Rate Item.
SOR Category	From the drop down select the Schedule Of Rates Category. Available from 5.8.1.0 The field label is now a hyperlink to open the populated record.
SOR Sub Category	From the drop down select the Schedule Of Rates Sub Category. Available from 5.8.1.0 The field label is now a hyperlink to open the populated record.
SOR Priority	Enter a SOR Priority.
Other Ref	A reference for the Schedule of Rate Item.
Task Category	From the drop down select the Task Category - this will filter the available SOR items on a Task. Available from 5.8.1.0 The field label is now a hyperlink to open the populated record.
Task Discipline	Available from 5.8.1.0 From the drop down select the Task Discipline - this will filter the available SOR items on a Task.
Location Type	Available from 5.8.1.0 From the drop down select the Location Type - this will filter the available SOR items on a Task.
Units Section	Available from 5.8.1.0
Unit Type	The unit type controls how users will enter units for the rate item to determine the cost. Options include quantities, dimensions, hours and a simple required/not required check box. From the drop down select the Unit Type: Quantity - allows a quantity to be added Quantity Decimal - allows a quantity with a decimal point to be added Squared - for calculating square meterage Cubed - for calculating cubic meterage Hours - for calculating labour hours Required / Not Required Available from 5.8.1.0
Unit Description	Enter a description of the Unit, such as 'square metre of glazing', 'linear metre of bricks', 'full time employee' or 'an item of ...'.
Unit Time	The amount of time required to complete a single quantity of the Unit.
Default Quantity	Available from 5.8.1.0 The default quantity will be used to populate the Quantity field when this rate is first selected. It can be overridden by the user if required. The default quantity will also be used when the Unit Type is Required / Not Required and the customer checks the box to say the rate item is required.
Minimum Quantity	Available from 5.8.1.0 This optional value can be used to set a minimum quantity that must be requested in order for this item to be added to a Task.
Rates per Unit Section	Available from 5.8.1.0
Labour Cost	The estimated cost of Labour for a single unit of the selected Unit Type when the SOR is applied to a Task. Note: Where the Unit Type is Quantity or Quantity - Decimal, the calculation for the Task is a straightforward X multiplied by Y. When the unit type is Squared (or Cubed) the SOR, the Task has different fields to fill in and it will multiply costs by height, width (and possibly depth) instead.
Stock Cost	The estimated cost of Stock for a single unit of the selected Unit Type when the SOR is applied to a Task. Note: Where the Unit Type is Quantity or Quantity - Decimal, the calculation for the Task is a straightforward X multiplied by Y. When the unit type is Squared (or Cubed) the SOR, the Task has different fields to fill in and will multiply costs by height, width (and possibly depth) instead.
Plant Cost	The estimated cost of Plant for a single unit of the selected Unit Type when the SOR is applied to a Task. Note: Where the Unit Type is Quantity or Quantity - Decimal, the calculation for the Task is a straightforward X multiplied by Y. When the unit type is Squared (or Cubed) the SOR, the Task has different fields to fill in and it will multiply costs by height, width (and possibly depth) instead.
Total Cost	Auto-calculated by adding the Labour, Stock and Plant Costs and will be used to calculate the Estimated Costs of Tasks where the rate is selected.
Sale Price	Available from 5.8.1.0 The Sale Price can be used to set an alternative Price for the rate item. This value is useful for indicating basic WIP or Sales Invoicing figures without complex invoicing rules in the Sales Invoicing Module.
Description Tab	Available from 5.8.1.0
Friendly Description	Available from 5.8.1.0 This field can be used to set an alternative description for the rate item. If present, this will be used in applications that show rates to customers (e.g. AtYourService)
Long Description	The long description of the Schedule of Rate Item.

Complete the fields and click Save. Once the Schedule of Rate Item has been completed and saved it will be available to be added to a Task in the current Contract.

	Copy	Available from 5.8.1.0 It is possible to create a copy of the current Master Rate Item record by clicking the Copy button in the toolbar. When clicked, the page enters Copy Mode. All values from the 'original' Master Rate Item record are retained when in Copy Mode and can be changed where necessary.
	Status Change Button	Available from 5.8.1.0 The button opens an expandable group containing buttons for all available state transitions: Active - Activate Schedule of Rate Suspended - Suspend Schedule of Rate History - Send Schedule of Rate to History Selecting a state from the group will change the Status of the current Schedule of Rate Item to the selected value.
	Refresh from Master Rate	Available from 5.8.1.0 Click the button to replace the SOR Item field values using the current values from the associated Master SOR Item. Note: The button is disabled if the current Schedule Of Rates Item is not linked to a Master SOR Item.
